We ensure compliance with UK and EU food safety regulations, allowing us to track and trace every product from supplier to consumer. This policy outlines our traceability processes, including record-keeping, stock management, and supply chain transparency.

2. Supply Chain and Record-Keeping

  • All purchased products are sourced from verified suppliers and manufacturers.
  • Every product received is recorded in our inventory system, including batch numbers and expiry dates.
  • We use Xero accounting software to store all purchase invoices and sales records, ensuring accurate documentation of our transactions.
  • Products requiring custom clearance are handled by G & B FREIGHT LIMITED, ensuring that all import records are maintained in compliance with UK import laws.

3. Inventory Management and Stock Rotation

We follow a structured First-In, First-Out (FIFO) inventory management system to ensure product freshness and minimize waste:

  • Stock Registration:
    • Each product is recorded in our inventory system upon arrival, including batch numbers and expiry dates.
    • Products requiring import clearance are tracked separately for compliance.
  • Stock Rotation:
    • Older stock is placed at the front to ensure it is sold first.
    • New stock is placed at the back of storage areas to maintain FIFO principles.
  • Expiry Tracking:
    • We review expiry dates weekly and mark products for discounting when they are approaching expiry.
    • Expiring products are placed in a dedicated special offers section.
    • Expired products are recorded for audit purposes but not sold.

4. Product Traceability in Case of Recall

If a product recall is required, our traceability system allows us to:

  • Identify affected batches using Xero records and inventory logs.
  • Contact customers who purchased the affected product.
  • Notify regulatory authorities if required.
  • Remove recalled products from stock immediately.
  • Track affected customers via our website sales records and notify them about the recall, ensuring transparency and consumer safety.

5. Consumer Safety and Transparency

  • Product descriptions include batch information and expiry dates where applicable.
  • Customers can request batch details before purchasing if required.
  • We provide clear allergen information, and gluten-free products are stored separately from other products.

6. Compliance and Data Retention

  • All product invoices and sales records are stored in Xero and retained for at least 6 years.
  • Customs clearance documentation is maintained as per UK government regulations.
